Guidelines for emailing to
“All Faculty/Staff” for COVERAGE

Requests for coverage, and emails notifying that coverage has been found, should have a subject line as follows:

“coverage needed for [date & time]”

“coverage found for [date & time]”

If you are getting coverage for someone besides yourself, please also include that person’s name in the subject.

GENERAL Guidelines for emailing to
“All Faculty/Staff”

·  See if you can get the information you need without sending an email to everyone.

·  Make sure it actually needs to go to everyone--consider using a smaller mailing list (such as
LS Faculty or MS Faculty)

·  Reply Sender unless everyone must see your reply.

·  Use a short but descriptive subject field line

·  Make sure all the information is correct the first time.

·  Avoid using backgrounds that make the email hard to read.

·  Avoid sending follow up notes to everyone just to say thank you or that a request has been filled. Instead, just thank those that offer directly.

·  If you’re sending a document, also put a copy into SharedDocuments.

·   If you have several announcements to make, put them all into one email
